Description

An Admin/Finance Officer is responsible for managing administrative tasks and financial operations to ensure the smooth running of an organization. They handle financial records, budgeting, reporting, and general office administration while ensuring compliance with policies and regulations.

Responsibilities

Key Responsibilities:

1. Financial Management & Reporting

  • Preparing financial reports, invoices, and expense statements
  • Managing accounts payable and receivable
  • Assisting with budgeting and financial forecasting
  • Reconciling bank statements and monitoring cash flow

2. Payroll & Tax Compliance

  • Processing employee payroll, pensions, and tax filings
  • Ensuring compliance with financial regulations and tax laws
  • Maintaining accurate records for audits and financial reviews

3. Administrative Duties

  • Managing office supplies, equipment, and correspondence
  • Handling documentation, filing systems, and data entry
  • Coordinating meetings, appointments, and office logistics

4. Record-Keeping & Compliance

  • Maintaining accurate financial and administrative records
  • Ensuring compliance with company policies and government regulations
  • Assisting with internal and external audits

5. Liaising with Stakeholders

  • Communicating with vendors, clients, and financial institutions
  • Supporting senior management with financial insights and reports
  • Assisting in grant applications or funding processes (if applicable)

Requirements

Requirements:

Essential:

  • Strong administrative and financial management skills
  • Proficiency in accounting software (e.g., QuickBooks, Xero, Sage)
  • Knowledge of financial regulations and reporting standards
  • Excellent organizational and problem-solving skills
  • Attention to detail and accuracy in financial documentation

Desirable/Preferred:

  • Degree or diploma in Finance, Accounting, Business Administration, or related field
  • Experience in a similar finance or administrative role
  • Knowledge of payroll processing and tax regulations
  • Strong IT skills, including MS Excel and financial databases
  • Ability to handle confidential information with integrity
